1. What are templates and how does it work?

Project Templates

Simply put, templates are re-usable portions of a project (milestones, task lists, tasks, doc templates) that can be used in creating other similar types of projects. Something like a 'project clone'. Ever had a process that you follow and wish you did not have to type it out everytime you made a new project? DeskAway Templates will help you save time and get you more process-driven.

You need to create a project (or take an existing project), put in Milestone, Task Lists, Team & Docs Template information and then click on 'Create Template' from the top right corner.

Create Template

You will then give your template a Name and Description, choose which portions of the project you want 'templatized'.

And then load this new template in a new project

2. Can you please give me an example of how I can use templates?

Project Templates

We will take an example of a Web Design project which have multiple milestones, task lists and tasks. This process is followed for all design clients and hence creating a template and then re-using it would save time.
Below are 3 milestones having task lists and tasks for every design project.
  • Initial Planning
  1. Proposal
    • First Meeting
    • Send Proposal
    • Second Meeting
  2. Agreement
    • Send Agreement
    • Sign Agreement
  3. Kickoff
    • Get stuff from client
  • Design
  1. Layout
    • Complete webpage layout
    • Approve from client
  • Take Live
  1. Hosting
    • Approve hosting provider
    • Upload files and take live
    • Show to client
So, for every new project of this kind, we could load this template and start the project immediately!

3. I cannot see the 'Templates' or the 'Create Template' link?
Most probably, you are using the Free plan. Project templates are not included in the free plan. You would need to upgrade to the minumum $25/month Professional Plan.

4. Who can add/edit/delete a template?
Only Super-Users can Add/Edit/Delete and Load a template into a Project.

5. What is stored in a template?
When saving a project as a template, only the Milestones, Task Lists, Tasks and Doc Templates are stored in the template.

6. Why can't I see due dates in my new project that is loaded with a template?
At this time, due dates are not taken into consideration when loading a template into a project. You are free to edit the due date of the milstone or tasks.

7. Is it possible to load 2 or more templates within a project?
No, a project can only be loaded with 1 template. If you wish to load another template, then you would need to create a new project.

8. How do I edit the template?
Currently, you can edit the name and description of the template. The contents of the template are not editable. Since templates come from existing projects, you can edit the project (add a new milestone or delete a task list) and then click on 'Create Template' link again. This will create a new template. You can then delete the old template.

9. Does deleting a template remove it from the project also?
No, templates are stored seperately and have no relation to the project it came from. One project can spin of multiple templates.

10. I’ve created a template for a project having recurring tasks. When I use this template in a new project all the recurring tasks show up as normal tasks without any deadlines. How come?
When you save a Template for any Project it doesn't save task deadlines. Hence, the recurring option gets disabled by default (since recurring tasks require a deadline to be set).

11. Can I add a template to a project that has already been created?
No, you can not add your Template to a Project that has already been created. In this case you need to add another Project and load the required Template within it.
